The limbo of knowledge

Often times, company knowledge is buried inside people's heads. But even if it is indeed documented in some form or another, the important information is hidden in some email thread or in one of the many tools that are being used. Thus, relevant information is practically lost in what we like to call the “limbo of knowledge” – it is spread out to different sources which, in return, makes it basically unavailable at certain times.

The best solution is a tool that allows for storing all the knowledge for a certain topic in one place whilst giving you extended options for presenting and later searching relevant information.
Every tool has it's own purpose. Every tool has its right to exist. But once we mix up what we use these tools for, things can get messy. Just think of that last document you received from your colleague, was it on slack, was it attached to an email or was it just a shared file in your cloud?
Of course the idea of documenting knowledge in the form of manuals is nothing new. These are often created in tools like Word or Canva and distributed through a PDF export. While these tools basically give you endless freedom in terms of design and modern PDF files also support a text search, this approach often ends in an endless pile of (digital) documents that look the same at first glance but are all new, slightly modified versions.
Looks familiar? Most people had one of these encounters in their lives. If you think this issue might be resolved after just sorting the documents by their date of last modification, imagine this: What if everybody has already downloaded and forwarded one of these versions when it was the "current" one?

Wikis to the rescue?

Common Wiki tools such as MediaWiki and DokuWiki are well-established and powerful solutions for the aforementioned issue of deprecated documents. They provide you with an online environment that is always up-to-date. However, since Wikis are better known for their multifunctionality than their user friendliness, the high complexity of these tools makes them less beginner friendly and, accordingly, more error-prone.
